A guest scans a QR code to request a car. The phone shows that the request has been received. What should the supervisor see, and what should the guest be told next? A useful valet-software demo answers both questions on the same visit.
App-free valet software lets a guest use a mobile web flow instead of installing an application. The buying decision is about more than the QR code: the request must reach the right team, remain understandable during a busy departure period and fit the property's handover procedure.
Start at the guest's phone
Ask someone unfamiliar with the product to follow the proposed flow using a demonstration visit. Can they identify the property, understand what the request does and find help when needed?
Keep the wording specific. Request received and vehicle ready should describe different events. Show the collection location clearly, using the same name that appears on the property's signs. If the guest must take another action, make it visible at that point rather than hiding it in arrival instructions.
Parkomate's Valet Parking Software supports app-free QR or secure mobile-web retrieval and a guest screen that can carry property branding. The published product page also describes staff assignments and live pending retrievals. Ask to see the guest and supervisor views together rather than in separate slide decks.
Test the moments that create duplicate work
Use a demonstration visit to request a vehicle twice. Then try a cancelled request and a guest who asks the desk for help after using the phone. The supervisor needs an understandable current task, with an agreed way to identify what has already happened.
If the property uses notifications, confirm the channel and what triggers each message. SMS or WhatsApp gateway support is conditional on configuration in Parkomate's published specifications; neither should be assumed to be included in every installation.
Ask what happens when a guest has no usable phone or connectivity. An assisted desk process should point to the same visit and preserve the approved identity checks. The goal is for staff to help the guest without creating a second, disconnected record.
Make the supervisor's view useful during a peak
Walk through several sample visits at different stages. Which request is waiting for assignment? Which attendant is retrieving a car? Which vehicle is ready but not yet collected? Ask the supervisor to answer those questions without opening every record individually.
Parkomate's listed operational records include check-in time, retrieval request, staff ID, staging bay, key locker and handover time. Use those fields to build a sample shift review. Confirm which filters, exports and task rules the proposed configuration provides.
The separate valet custody workflow guide covers the physical chain from key handover to verified return. This software review should make that chain visible; it does not replace staff training or release procedures.
Check who can see and change a visit
Ask the supplier to demonstrate access with different staff roles and sample guest links. Another person's visit should not become accessible merely by changing a reference. Limit the information shown to what the guest or staff member needs for that step.
OWASP explains why a difficult-to-guess identifier is not, by itself, a substitute for authorisation checks. Use that as a concrete question in the security review, without treating the existence of a secure-link feature as proof of every control. OWASP's authorisation guidance provides the underlying principle.
Add billing and vehicle capture only where they fit
The published Valet scope can connect sessions to Parking Management System, ANPR and parking tariff rules. Agree what is included and who supplies each integration. An arrival can be digitally recorded without requiring every site to buy the same camera and billing setup.
For a mixed-use property, also describe how the valet porch connects to ordinary parking. Our Pune shopping-mall page describes POS software and ANPR for paid parking; it provides context for that connection without claiming a valet deployment.
Must every guest use a phone? Plan an assisted process for guests who cannot or do not use the web flow, and demonstrate how it stays linked to the visit.
Can a branded screen guarantee a shorter wait? No. Retrieval also depends on staffing, parking position, movement routes and guest arrival at collection.
For a valet demo, bring your collection-point name, guest instructions and a sample peak-period sequence. These inputs make the software review specific to the property.
